REAL AUTOMATIONS, NOT JUST REMINDERS. BUILD THE AUTOMATION CENTER POWER USERS HAVE BEEN BEGGING FOR
Even though Workiz has expanded the TRIGGERS in the Automation Center, the ACTIONS are still basically the same: all you can do is send a text or an email. No other in-app actions can be performed automatically, which means we still have to update everything else manually EXPAND NATIVE TRIGGERS & ACTIONS Currently triggers/actions are mostly for leads and jobs and only cover very basic follow-ups and reminders. There needs to be full trigger/action coverage for tags, tasks, calendar events, field updates, status changes, payments, and reporting events. EXAMPLES OF WHATS NEEDED – When a payment is deleted/failed → notify admin/finance and update status/fields. – When a client confirms/reschedules → automatically update job status, tags, related tasks, and calendar events. – When a tag is added/removed → start workflows (tasks, follow-ups, internal notifications, field updates). DEEPER JOB, LEAD, AND ESTIMATE TRIGGERS → Triggers for events like: payment deleted/failed, client confirmed, visit rescheduled, estimate approved/declined. → “When X happens, change Y” logic (e.g., when a lead is scheduled, automatically move it to a chosen status). AUTOMATIC STATUS AND FIELD UPDATES → Allow automations to update job/lead/estimate status, tags, and custom fields based on conditions (e.g., if client confirms, set job status to CONFIRMED). → Support chaining simple rules to build more complex workflows without needing a developer. ADMIN SAFEGUARDS AND ALERTS → Automatic alerts to admin/finance when sensitive actions occur, like payments being deleted or edited. FLEXIBLE, FUTURE-PROOF AUTOMATION BUILDER → Visual, no-code builder with TRIGGERS → CONDITIONS → ACTIONS for jobs, leads, estimates, clients, site visits, tasks, field updates, tag or status updates and payments. OR AT THE VERY LEAST, MATCH THESE CAPABILITIES IN ZAPIER If everything can’t live in the Automation Center right away, at least expose all these triggers/actions to Zapier so power users can build them. Workiz should offer rich Zapier triggers (status changes, tag added/removed, task updates, payment events, calendar events) and actions (update any field, status, tag, task, report record) so the same level of automation is possible externally. THE GOAL Give users the ability to fully automate workflows for jobs, leads, estimates, clients, tags, tasks, calendar events, payments, statuses, and reporting—either directly in Workiz Automations or via a complete Zapier integration.

FULL ZAPIER INTEGRATION for ALL WORKIZ DATA: Let us automate what workiz can’t (yet)
THE PROBLEM: Right now, Zapier only works with Jobs and Leads. That's it. We can't automate statuses, tags, tasks, payments, service plans, communications, or most other Workiz features. This forces us to either do things manually or build hacky workarounds. Currently Available: 5 triggers (New Job, New Lead, Job Status Change, Lead Status Change, Job Is Done) 2 actions (Create Job, Create Lead) WHAT'S MISSING: What We Need Exposed! OBJECTS Jobs, Leads, Clients, Estimates, Invoices, Payments, Tasks, Service Plans, Tags, Custom Fields, Calendar Events, Equipment, Service Areas, Communications TRIGGERS New/updated record for each object Status changed on any record Tag added or removed Custom field updated Payment created, failed, or refunded Service plan created, renewed, or canceled Task created, completed, or overdue Calendar event created or updated Inbound/outbound call, missed call, voicemail received SMS received or sent ACTIONS Create or update any record type Change status on any record Add or remove tags Update custom fields and notes Create tasks and calendar events Send SMS or initiate calls via Workiz Convert lead to job THE GAP Workiz has powerful features: service plans, tasks, price book, equipment tracking, reporting, commissions, and a full communication hub. None of these are exposed to Zapier. We can't trigger automations from: Service plan renewals or cancellations Equipment changes Report results Commission events Incoming calls or texts We can't use Zapier to: Update custom fields across all objects Add or remove tags on clients, invoices, or estimates Change statuses on anything except jobs and leads Log communication events to external systems REAL-WORLD USE CASES WE CAN'T BUILD PAYMENT WORKFLOWS When payment fails → update invoice to "Past Due" → tag client as "Payment Issue" → create "Collect Payment" task → notify accounting in Slack → log to QuickBooks REVIEW AND MARKETING FLOWS When job marked done → send to review platform → update CRM → trigger email sequence → set "Review Requested" field → log to Google Sheets SERVICE PLAN MANAGEMENT 30 days before renewal → create follow-up task → send email sequence via ActiveCampaign → update "Renewal Stage" field → log to CRM → alert sales team COMMUNICATION TRACKING When call is missed or voicemail received → create callback task → tag client → log to CRM → send internal Slack alert OPERATIONS AND PRIORITY RESPONSE When "Urgent" tag added → create high-priority task → assign to senior tech → send Slack alert → update external dashboard REPORTING AND KPIS When invoice paid → log to BI dashboard → update revenue sheet → send daily summary to leadership → track by source and service type THE ASK Make Workiz a complete Zapier app. Expose ALL major objects, triggers, and actions Let users automate across the entire platform, not just jobs and leads Enable the community to build advanced workflows that are too specific or niche to ever be built natively This unlocks Workiz's full potential without your team having to build every automation use case into the product.

Automation limitations
automations have several limitations which negate the benefit of having them. Examples include; Some starting conditions (i.e. when an invoice is paid in full) do not allow you to drill down into further qualifications (i.e. job type). The automations have limited condition allotments, and they're not the same across all automation types. When using multiple conditions (i.e. only if client tag IS NOT, and IS NOT...) workiz is unable to see all of them, you have to create individual lines for each one. 3- Unable to CC multiple team members on automations (you have to create a new one if you want more than one people notified, which is painful b/c we are only allowed a limited # of automations) 4- Limiting the # of automations available to me as a user- I've never seen this done in a software before. On the highest paid level plan- what is the reasoning behind this? Unlimited users should have unlimited automations. 5- If you update an automation to send to a different person, the automation will continue sending to the wrong person unless you de-activate/re-active it or delete & recreate. 6- Inability to group automations, making it difficult to work through them (i.e. I'd like all of my AR automations together so I can work through the whole automation flow to ensure the follow ups to Clients make sense) 7- Inability to do mass communication (i.e. text ALL clients with X tag [promo]) 8- Inability to do "OR" / "AND" conditions (i.e. If a job has a status of "approved" OR "won"...) another example would be "when a lead is created AND has a status of New...) again problematic due to arbitrary automation limitations on # of automations allowed per account. 9- Inability to automate reports (i.e. when a monthly performance pay report is created for [user], send email to X) 10- No automations starting with When "A Client..." 11- Cannot add time frames (i.e. When a job is "in progress" for 30 days...." OR "when a lead is "new" for 48 hours...) These are a few off the top of my head, will try to update with more as I remember/they arise
